About the position

The Acquisitions and Electronic Collections Management Assistant at Copley Library plays a crucial role in overseeing the payment for library materials and assisting with the maintenance and assessment of electronic resources. This position involves collaboration with various departments and vendors to ensure timely processing of orders and payments, as well as managing data related to library acquisitions to support informed decision-making. The role also includes supervising work-study assistants and participating in library activities.

Responsibilities

  • Oversee payment for library materials and assist with maintenance and assessment of electronic resources.
  • Process all library materials invoices and credits for payment in the integrated library system (ILS).
  • Monitor and reconcile expenditures for accurate budget tracking.
  • Track and anticipate invoice renewal schedules for regular library subscriptions.
  • Coordinate with campus partners to ensure payment for shared invoices.
  • Maintain library resources order and invoice records in ILS and communicate with vendors on discrepancies.
  • Track library resource payment statuses and update ILS payment records.
  • Maintain and update library resource budget expenditure records and provide updates to library management.
  • Harvest and compile usage data from library vendors and maintain usage reporting platform.
  • Analyze usage, budget, and related data to support collection assessment decision-making.
  • Assist with activation of electronic resource orders and troubleshoot access-related technical issues.
  • Hire, train, supervise, and evaluate up to four work-study assistants.

Requirements

  • Bachelor's degree required, or a High School diploma with two years of related work experience.
  • Strong interest in data reporting.

Nice-to-haves

  • Demonstrated experience with Microsoft Excel.
  • Previous accounting or budget experience.
  • Previous library or acquisitions related work experience.
  • One year supervisory or leadership experience.
