About The Position

The Admin Assistant for the Code Law Division is responsible for performing complex administrative and clerical functions with a high degree of independence. This role involves managing court files, scheduling, and may include acting as a confidential secretary to the department head. The position operates under the general direction of the City Solicitor 2nd Associate, with responsibilities that require considerable knowledge of departmental operations and the ability to make independent decisions.

Requirements

  • High school diploma or equivalent, supplemented by courses in general office work.
  • Minimum of three years of experience in responsible department clerical work.
  • Thorough knowledge of rules, regulations, laws, and ordinances governing the work performed.
  • Considerable knowledge of modern office practices, procedures, and equipment.
  • Ability to analyze data and make recommendations affecting policies and procedures.

Responsibilities

  • Exercise independent judgment in administrative tasks.
  • Manage and update court files and schedules.
  • Act as a confidential secretary to the department head as needed.
  • Prepare administrative reports and conduct research as required.
  • Develop and revise departmental clerical procedures and operations.
  • Plan, assign, and review the work of subordinates.
  • Interpret and enforce departmental policies and regulations.
  • Compose departmental correspondence based on established precedents.
