The City of Wasilla Human Resources Department is seeking a temporary Administrative Assistant to support an ongoing project related to the transition to a new online Human Resource Information System (HRIS). This role is essential in helping to scan and organize employee documents into the new system, ensuring that all records are accurately maintained and easily accessible. The position is non-regular and temporary, expected to last no longer than six months. The daily schedule is flexible, but work must be completed within the hours of Monday to Friday, from 8 AM to 5 PM. As an Administrative Assistant, you will be responsible for a variety of tasks that are crucial to the smooth operation of the Human Resources Department. This includes handling incoming phone calls and directing them to the appropriate staff or departments, as well as receiving and directing visitors to the correct office. You will also prepare highly confidential reports and maintain strict confidentiality regarding sensitive data, records, and conversations. General office support duties will include scheduling appointments, composing and replying to emails, and preparing for meetings, which may involve filing, faxing, and scanning documents. Additionally, you may be assigned other job-related duties as needed. This position requires a high level of interpersonal skills to manage sensitive situations with poise and diplomacy. Attention to detail is critical, as you will be composing, typing, and proofing materials while prioritizing competing tasks and meeting deadlines. The ability to communicate effectively with individuals at all levels of the organization is essential, as is the capacity to work independently with minimal supervision. You will also need to interact with the public in a courteous and professional manner, even amidst constant interruptions. Familiarity with office equipment and software, particularly MS Office applications such as Word, Excel, and Outlook, is necessary for success in this role.
