About the position

The Administrative Assistant/Clerical Services Supervisor plays a crucial role in supporting the Department Director of Protective Specialized Services by providing technical and administrative assistance while supervising clerical staff. This position ensures the smooth operation of the department and serves as the primary contact for internal and external stakeholders, emphasizing cultural competence and adherence to the agency's mission and values.

Responsibilities

  • Maintains the Department Director's appointment schedule by planning and scheduling meetings, conferences, and special events.
  • Administers payroll for the Department Director and subordinate supervisors as needed.
  • Provides administrative support to supervisors assigned to the Department Director.
  • Directly manages assigned clerical specialists and/or other support staff as directed.
  • Welcomes guests and others by greeting them, answering or directing inquiries.
  • Processes all mail and coordinates the flow of signature items in a timely manner.
  • Records and/or transcribes minutes of meetings and prepares agendas and handouts.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Department Director.
  • Maintains confidentiality and protects operations by keeping information secure.
  • Responsible for Adoptions Subsidy negotiations and processing paperwork.
  • Holds adoption subsidy workshops for adoptive parents and prepares presentations.
  • Assists with the development and management of the department budget and tracks expenses.
  • Produces reports and logs information for the Department Director.
  • Maintains office supply inventory and places orders as needed.
  • Prioritizes conflicting needs and follows through on projects to completion.
  • Represents the agency in the community and serves on various committees as assigned.
  • Mentors staff regarding professional behavior and best practices.
  • Attends and participates in all agency meetings and trainings.

Requirements

  • High School Diploma or GED required; Associates Degree in Business or Social Services preferred.
  • Three years of office/administrative experience required; one year in a child welfare or social services agency preferred.
  • Supervisory experience and/or completion of an agency-sponsored leadership program preferred.
  • Certification in office management preferred.
  • Adoption Assessor training preferred.
  • Valid State of Ohio driver's license with no more than eight points on the driving record.

Nice-to-haves

  • Experience with SACWIS and Document Management System (e.g., Traverse) preferred.
  • Proficiency in Microsoft Office products including Word, Excel, PowerPoint, and Access.
