About the position

The Administrative Assistant II at Bassett Medical Center plays a crucial role in providing high-quality administrative support to the Department Manager and Administration Staff. This position is dedicated to improving patient health through efficient management of administrative tasks, ensuring confidentiality, and facilitating communication within the department. The role involves a variety of responsibilities including scheduling, managing correspondence, and supporting clinical operations, all while adhering to organizational policies and standards.

Responsibilities

  • Perform a variety of confidential functions to support the Department Manager and Administration Staff.
  • Provide high quality and confidential administrative support to assigned providers.
  • Answer, screen, and triage telephone calls in a positive, professional manner.
  • Take detailed and accurate messages and ensure follow-through occurs in a timely manner.
  • Accurately type memoranda, reports, and correspondence as requested.
  • Utilize IDX and Microsoft Outlook to manage provider schedules and schedule patients as needed.
  • Maintain accurate calendars for providers and coordinate related paperwork for meetings, time off, and travel.
  • Process incoming correspondence in a timely and confidential manner.
  • Utilize good time management skills by prioritizing work/projects and communicating status to providers and manager.
  • Process all clinical paperwork accurately with minimal exceptions.
  • Schedule outpatient appointments via telephone requests and according to departmental protocols.
  • Initiate and coordinate scheduling of various procedures and required appointments.
  • Communicate with departments to coordinate appointments for diagnostic testing.
  • Collect and record information for obtaining authorization for diagnostic testing.
  • Promote quality health care through continual learning and proactive communication.
  • Resolve problems and make decisions within scope of authority.
  • Support and cross-cover for other staff as needed.
  • Present a positive image of Bassett Medical Center through professional appearance and behavior.
  • Ensure confidentiality of protected health information and patient privacy rights.
  • Serve as a liaison between the Department and health insurance plans during the review process.
  • Act as a receiving point for patient concerns and complaints, referring issues as necessary.
  • Communicate care plans and scheduled appointments to patients/families.
  • Train and serve as a preceptor for new staff as needed.
  • Maintain competency in required programs and attend necessary training and meetings.

Requirements

  • High School or GED, preferred.
  • Administrative Assistant Training or AAS degree, preferred.
  • At least 3 years of departmental administrative assistant experience, required.
  • Bachelor's degree may be substituted for one year of work experience.
  • Skills in accuracy, attention to detail, communication, conflict resolution, creative thinking, critical thinking, and time management.

Nice-to-haves

  • Experience in a healthcare setting.
  • Familiarity with IDX and Microsoft Outlook.
