About the position

The Nursing Administration Administrative Assistant/PBJ Coordinator plays a crucial role in ensuring effective communication within the nursing unit and with other departments. This position is responsible for maintaining accurate unit records and supplies, adhering to the Ephraim McDowell Health nursing professional practice model. The role emphasizes patient and family-centered care, which is central to the practice and is built on a foundation of caring, compassion, competence, communication, collaboration, and teamwork. The Administrative Assistant is tasked with collecting, maintaining, and ensuring the accuracy of data, particularly in relation to payroll-based journaling (PBJ) data that must be submitted to the Centers for Medicare and Medicaid Services (CMS) as per the specified regulations under 42 CFR Part 483, Subpart B. In addition to data management, the Administrative Assistant serves as a liaison between departments, ensuring that communication is clear and that accurate records are readily available. The role requires participation in shared nursing leadership to achieve positive outcomes, uphold education, and maintain respect, dignity, and safety within the unit. Responsibilities

  • Maintain accurate and courteous communication within the unit and with other departments.
  • Collect, maintain, and ensure accurate data for payroll-based journaling (PBJ) reporting.
  • Submit PBJ data to the Centers for Medicare and Medicaid Services (CMS) as required.
  • Serve as a liaison between departments to ensure communication and accurate records are available.
  • Participate in shared nursing leadership to achieve positive outcomes and uphold safety and dignity.

Requirements

  • High School Diploma or G.E.D. required.
  • Previous hospital experience preferred.
  • Previous clerical experience preferred.
  • Proficient knowledge and understanding of the Kronos payroll application.
  • Basic knowledge and understanding of the PBJ process.

Nice-to-haves

  • Working knowledge of Medical Terminology preferred.
  • Meditech experience preferred.
  • Proficient in Excel, Microsoft Office/Word, PowerPoint, and Publisher.
