About the position

Innova Solutions is immediately hiring for an Office Administrator position in Fresno, California. This role is essential for the smooth operation of a HVAC sales office, where the office administrator will be the backbone of the administrative functions. The office is frequented by sales team members and service technicians, necessitating a well-organized and efficient administrative support system. The Office Administrator will be responsible for managing various vendors that service the site, including janitorial services, shipping and receiving, pest control, internet services, and food and beverage supplies. This role also involves handling incoming mail and ensuring that the breakroom and office supply room are adequately stocked. In addition to vendor management, the Office Administrator will play a key role in planning and executing office events. This includes organizing internal team meetings, team-building events, and customer training events. The administrator will be tasked with ordering food and drinks for monthly technician meetings and will serve as the first point of contact for an upcoming construction project, coordinating access for subcontractors and providing updates on the project's progress. The position requires scheduling company team-building events, which involves coordinating with all parties, including internal team members, venue personnel, and food and beverage vendors. The ideal candidate will possess strong organizational skills, be personable, and be self-motivated to work independently. Previous experience in office administration, customer service, and accounting is preferred, making this role suitable for individuals with a background in office planning or coordinating roles.

Responsibilities

  • Managing vendors for the site such as janitorial, shipping and receiving, pest control, internet, and food and beverage.
  • Taking care of incoming mail.
  • Stocking the breakroom and office supply room.
  • Planning for office events including internal team meetings, team events, and customer training events.
  • Ordering food and drinks for monthly technician meetings.
  • First contact for an upcoming construction project to let the subcontractors in and out as well as letting me know the progress on the job.
  • Scheduling company team building events like bowling night or baseball game.

Requirements

  • HS diploma
  • Previous office admin experience is preferred
  • Experience as an office administrator or in other office planning or coordinating roles.
