About the position

The Administration/HR Assistant at Volunteer Corporate Credit Union (VolCorp) plays a crucial role in providing administrative support to various departments, including Administration, Facilities, and Human Resources. This position is highly visible, requiring the handling of confidential information and direct interaction with the Board and executive team. The role emphasizes a strong work ethic, emotional intelligence, and the ability to work independently while being a team player.

Responsibilities

  • Provide administrative support for Administration and Facilities, including executive support for the Senior Leadership Team.
  • Attend monthly Committee Meetings, record minutes, and prepare draft meeting minutes for review.
  • Assist with the preparation and assembly of monthly Board and Supervisory Committee packages.
  • Manage staff travel needs, including hotel reservations and meeting arrangements.
  • Track fleet vehicle service and maintenance appointments, maintaining service schedules for company vehicles.
  • Serve as the primary point of contact at the reception area, managing visitor interactions and telephone communications.
  • Handle incoming and outgoing mail, including mass mailings and postage management.
  • Order and maintain office supplies, ensuring cost-effective purchasing and accurate receipt of supplies.
  • Prepare correspondence, spreadsheets, and mass mailings to support ongoing business needs.
  • Process and save electronic documents for retention and maintain organizational charts.
  • Assist with employee data recordkeeping and coordinate staff background checks.
  • Coordinate hiring advertisements and assist with scheduling candidate interviews and onboarding new employees.
  • Maintain legal postings and prepare Affirmative Action Compliance reports.

Requirements

  • 5 to 10+ years' experience in a professional office setting as an administrative assistant or executive secretary.
  • Advanced ability to interface with all levels of Management and Staff, as well as with visitors and regulators.
  • Strong written and verbal communication skills, including exceptional editing and proofreading abilities.
  • Well-honed time-management skills and the ability to multitask effectively.
  • Experience in handling highly confidential information with professionalism.
  • Extensive experience with Microsoft Office tools (Word, Excel, Outlook, PowerPoint, Visio, Teams) and general office systems.

Nice-to-haves

  • Experience with Right Signature, Adobe Acrobat, or similar PDF programs.
  • Familiarity with video security tools for screening visitors.
