About the position

The Administrative Secretary position at the School Board of Manatee County involves providing highly responsible secretarial, clerical, and administrative support to an assigned administrator. Responsibilities

  • Serve as personal assistant to an administrative official by planning, initiating, and carrying to completion clerical, secretarial, and administrative office activities.
  • Attend conferences to take notes or be briefed on meetings to stay informed about developments concerning the supervisor.
  • Make arrangements for meetings and conferences, including space, time, and place.
  • Receive and route telephone calls, answering questions that may involve interpreting policies and procedures.
  • Maintain the administrator's calendar.
  • Receive mail and respond, route, or forward it to the administrator.
  • Proofread and edit outgoing correspondence.
  • Perform budgeting and finance functions as assigned.
  • Coordinate travel arrangements for the administrator.
  • Assist in the development and preparation of materials for meetings or submissions to the School Board.
  • Ensure adherence to good safety standards.
  • Maintain confidentiality regarding school/workplace matters.
  • Meet and deal effectively with staff members and other contacts using tact and good judgment.
  • Exhibit interpersonal skills to work as an effective team member.
  • Model and maintain high ethical standards.
  • Represent the District in a positive and professional manner.
  • Demonstrate initiative in the performance of assigned responsibilities.
  • Respond to inquiries and concerns in a timely manner.
  • Keep the supervisor informed of potential problems or unusual events.
  • Demonstrate support for the school district and its goals and objectives.
  • Prepare all required reports and maintain all appropriate records.
  • Maintain expertise in assigned area to fulfill project goals and objectives.
  • Participate successfully in training programs to increase skill and proficiency related to the assignment.
  • Perform other tasks consistent with the goals and objectives of this position.

Requirements

  • High School diploma or approved equivalency diploma.
  • Minimum of five (5) years of progressively responsible secretarial/clerical experience.
  • Knowledge of operations and functions of the assigned unit.
  • Knowledge of business English, spelling, and arithmetic.
  • Knowledge of the principles and practices of office management.
  • Ability to interpret rules, regulations, and policies.
  • Ability to use mature judgment in making decisions in accordance with established policy.
  • Ability to establish and maintain effective working relationships with employees and the public.
  • Skill in taking and transcribing dictation, if required of the position.
  • Ability to type at a prescribed rate of speed.
