About the position

The City of Phoenix Aviation Department is seeking a results-oriented professional to serve as an Administrative Aide at Phoenix Sky Harbor International Airport. This position supports sections within the Facilities and Services Division, which is responsible for the airport's repair and maintenance. The Administrative Aide will provide administrative support to multiple sections and the leadership team, ensuring efficient operations within the division.

Responsibilities

  • Assisting with hiring processes for the Division.
  • Reviewing Division payroll.
  • Managing calendars as well as coordinating and scheduling meetings.
  • Performing administrative functions such as writing and editing weekly report items.
  • Processing travel paperwork for the division.
  • Creating PowerPoint presentations for one or more section managers.
  • Building and editing Excel spreadsheets.
  • Answering phone calls and emails.
  • Using software such as Word, Excel, and Outlook.

Requirements

  • Four years of experience performing clerical duties.
  • OR Bachelor's degree in public or business administration or a related field.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.

Nice-to-haves

  • Experience reviewing payroll for multiple work groups.
  • Experience multi-tasking in a fast-paced environment.
  • Experience with tracking and managing training records.
  • Experience with hosting virtual meetings using software like Webex, MS Teams, or similar software.
  • Experience in specialized databases such as SAP, E-Procurement, EXIGIS, and/or Legistar.
  • Experience coordinating work amongst various divisions and companies while interacting with all levels of staff.
  • Experience supporting hiring processes, including scheduling interviews, requesting additional information from candidates, etc.
  • Experience producing written documents with clearly organized thoughts using proper sentence construction, punctuation, and grammar.
  • Advanced administrative support experience over the minimum qualifications which includes supporting multiple staff and managers.
