About the position

The Administrative Aide at Carle Illinois College of Medicine provides essential administrative support to the Department of Clinical Sciences. This role involves coordinating strategic initiatives, managing workflows, and supporting department leadership in various administrative tasks. The position is integral to the successful execution of departmental projects and programs, ensuring efficient operations and communication within the department and across the college.

Responsibilities

  • Support the planning, organization, and implementation of department-level strategic priorities and initiatives.
  • Develop, coordinate, and execute plans for strategic projects and programs.
  • Manage complex workflows for department initiatives, including scheduling and prioritizing activities.
  • Provide administrative support to the Department Head and Associate Department Heads.
  • Prepare correspondence and maintain confidential records and files.
  • Serve as a liaison between the Department Head, faculty, staff, and students.
  • Interpret policies and procedures to ensure efficient operation of the department.
  • Provide cross-coverage/support to developing departments from Clinical Sciences.
  • Participate in the analysis, design, and implementation of office information systems.
  • Ensure the department's webpage is maintained and up-to-date.
  • Supervise and manage the work of office support staff as directed.
  • Coordinate travel, reconcile charges, and process reimbursements.

Requirements

  • High school graduation or equivalent.
  • Five years of experience in business, finance, accounting, or a related field, including progressively responsible office experience.
  • Experience supervising staff or organizing office functions.

Nice-to-haves

  • Experience in a higher education environment.
  • Familiarity with office information systems and webpage management.

Benefits

  • Competitive salary range of $60,000 to $70,000 based on experience and qualifications.
