About the position

The City of Farmington is seeking an Administrative Aide for the Civic Center within the Parks, Recreation & Cultural Affairs Department. This position involves performing a variety of routine and complex clerical, secretarial, and administrative work, including keeping official records and providing administrative support to the Civic Center staff. The role requires excellent customer service skills and the ability to establish and maintain effective working relationships with employees, officials, and the public. The Administrative Aide will assist in preparing daily operations reports, greeting the public, managing ticket sales, and maintaining records related to accounts payable. This is a temporary, part-time position with varied days and hours worked.

Responsibilities

  • Perform routine and complex clerical, secretarial, and administrative work.
  • Provide administrative support to the Civic Center staff.
  • Assist in the administration and operation of the department.
  • Establish and maintain effective working relationships with employees and the public.
  • Prepare daily operations reports and review for accuracy.
  • Greet the public and answer questions in person and over the telephone.
  • Assist in obtaining booking information for events and prepare necessary paperwork.
  • Manage ticket sales, deposits, reports, and payouts.
  • Prepare monthly billing for Civic Center patrons.
  • Assist with preparing event billings and follow up on nonpayment.
  • Maintain daily sheets for co-workers' set-ups in meeting rooms.
  • Process invoices, reconcile P-Card statements, and maintain accounts payable records.
  • Receive and distribute incoming mail and maintain filing systems.
  • Assist with special projects or events as needed.
  • Operate a motor vehicle for department business.

Requirements

  • Graduation from high school or GED equivalent with specialized coursework in administrative office procedures.
  • Ability to type 60 wpm or at a rate sufficient to perform job duties.
  • Valid driver's license with an acceptable driving record for the past three years.
  • Working knowledge of personal computers and software packages, including Word and Excel.
  • Ability to learn Event Software and 3-D Design software.
  • Data entry experience preferred.
  • Effective verbal and written communication skills.
  • Ability to handle stressful situations in a busy office setting.
  • Ability to organize, work, and complete multiple tasks simultaneously.
  • Ability to maintain confidential and sensitive material.
  • Ability to establish and maintain working relationships with co-workers and the public.

Nice-to-haves

  • Experience in a similar administrative role.
  • Familiarity with event management software.
