About the position

The Administrative Aide position within the Office of Human Resources for Howard County Government is designed to provide advanced technical and administrative support. This role is crucial for maintaining human resource files, assisting with various HR functions, and ensuring excellent customer service to employees and applicants. The position requires a skilled individual capable of handling a variety of tasks in a fast-paced environment, while also maintaining confidentiality and integrity in HR processes.

Responsibilities

  • Provides administrative support for the Office of Human Resources, maintaining accurate HR files and records.
  • Answers frequently asked questions from applicants and employees regarding policies, benefits, and hiring processes.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs receptionist duties, responding to HR-related questions and routing calls and emails appropriately.
  • Enters, stores, and retrieves data from various HR data systems, including payroll and applicant tracking systems.
  • Schedules and arranges meetings, acting as host/facilitator when necessary.
  • Maintains office payroll and leave records, processing timesheets biweekly for submission to Payroll Department.
  • Carries out routine processes and maintains logs and records, preparing basic reports of operations.
  • Provides staff support during employment testing, training programs, and new employee orientation.
  • Creates employee identification badges and manages mail distribution, including confidential materials.
  • Serves as the primary contact for expense-related issues in Human Resources, processing monthly settlements and reimbursements.
  • Orders office supplies and processes supply requisitions, managing transactions charged to the office's County credit card.

Requirements

  • Associates degree and two (2) years related experience or equivalent combination of education and experience.
  • Proficient with or the ability to quickly learn payroll management, applicant tracking systems, and HR information systems.
