About the position

The Administrative Aide I position at the Center for Latin American and Caribbean Studies within the Arts and Science division is a vital role that encompasses a wide range of clerical, secretarial, and general office duties. This position is designed for an individual who can handle confidential information with discretion and respond to inquiries with a comprehensive understanding of the department's undergraduate and graduate offerings and policies. The Administrative Aide will assist in prioritizing office activities, delegating tasks, and monitoring the work of student and/or casual employees, ensuring that all operations run smoothly and efficiently. In addition to general office duties, the Administrative Aide I will be responsible for composing letters and correspondence, performing word processing, spreadsheet, and data entry tasks utilizing intermediate-level functions. The role also includes monitoring moderately complex budgets and/or grants, which requires attention to detail and organizational skills. This position is essential for maintaining the administrative functions of the Center and supporting its mission to provide quality education and resources related to Latin American and Caribbean studies.

Responsibilities

  • Perform a broad range of clerical, secretarial, and general office duties including those of a confidential nature.
  • Respond to inquiries displaying a comprehensive knowledge of the undergraduate/graduate departmental offerings and policies.
  • Assist with the prioritization of office activities and delegate to and monitor work of student and/or casual employees.
  • Compose letters and correspondence.
  • Perform general word processing, spreadsheet, and data entry duties utilizing intermediate-level functions.
  • Monitor moderately complex budgets and/or grants.

Requirements

  • High School Diploma or equivalent required; Bachelor's Degree preferred.
  • 2+ years of experience with a High School diploma; 1 year of office experience with an Associate's degree preferred.
  • Proficiency with intermediate-level word processing, spreadsheet, and database applications.
  • Moderate, accurate keyboarding skills.
  • Ability to conduct some tasks in Spanish.

Nice-to-haves

  • Proficiency with intermediate-level Microsoft Office.
  • Good writing and proofreading skills.
  • Proficiency in Spanish.
