About the position

This position is responsible for providing administrative, clerical, and receptionist duties in the Multi Modal Transportation Division within Office of Transportation. Duties includes preparation of correspondence by typing prepared documents, maintenance of data bases and telephone and reception activities. This position requires good judgment and discretion which are essential to the security of confidential information and data. The incumbent performs routine to moderately difficult office responsibilities under close supervision. Responsibilities include conveying important administrative information concerning the function and mission of the agencies' programs and projects.

Responsibilities

  • Provides secretarial/administrative support to professional staff of the Office of Transportation
  • Proofreads and edits materials to eliminate errors and to ensure correct grammar, spelling, and punctuation
  • Possesses considerable knowledge of the departmental organization, and familiarity with technical terminology specific to the operational activities within the Division and Department
  • Screens and prioritizes telephone calls and/or visitors
  • Uses tact, diplomacy, and discretion in performing office duties and maintains confidentiality and security
  • Administers and maintains employee payroll and time sheets and prepares and transmits these records for processing
  • Maintains statistical records for pay, personnel, and related data
  • Utilizes personal computer, and other automated office equipment to generate a variety of letters, reports, transcriptions, personnel related documents and other documents for the Commander/Manager and professional staff
  • Manages office correspondence requirements
  • Extracts and prepares statistical data from files, logs, and other departmental resources to compile up-to-date reports
  • Prepare, update and distribute trip schedules and log sheets

Requirements

  • High school diploma or G.E.D. certificate with coursework in typing, office practices or other related clerical subjects
  • One (1) year of advanced diverse and/or technical clerical experience which must have involved working with the public for at least six (6) months
  • Applicants must be proficient in typing and in shorthand where required

Nice-to-haves

  • Prior experience as demand response transit operator/driver or call center agent
  • Advanced knowledge of Prince George's County landmarks and frequently traveled locations
  • Ability to read and decipher maps
  • Knowledge of software including Microsoft Office, TripSpark/Novus/DriverMate; demonstrated success working in high paced environments, including dispatch and call centers
