About the position

The Administrative Aide at Knapp School and Yeshiva plays a crucial role in supporting the daily operations of the school through various clerical tasks. This position involves interacting with clients and visitors, managing communications related to student transportation and attendance, and maintaining accurate records. The Administrative Aide works closely with the Office Manager and other staff to ensure efficient office operations and compliance with agency guidelines.

Responsibilities

  • Greets clients and visitors in a respectful, pleasant manner and ensures clients are attended to as soon as they enter the facility.
  • Answers phones as directed by the Office Manager, directing calls as needed while maintaining client confidentiality.
  • Oversees all aspects of organizing and communications for student transportation and student attendance with parents/guardians, school districts, and vendors.
  • Works in conjunction with the Office Manager and coworkers to plan and complete tasks and meet scheduled deadlines.
  • Assists with maintaining office supplies, restocking supplies, and monitoring stock to ensure office supply levels.
  • Maintains accurate client files and performs data entry into the agency client database that is timely, accurate, and UR compliant.
  • Prepares and prints quarterly and annual student reports and progress notes for distribution.
  • Organizes and assists with school mailing and mass communications.
  • Generates a variety of reports and distributes them to the appropriate staff member.
  • Performs other related duties as required, including relieving other administration.
  • Responsible for following agency safety guidelines and procedures related to front office operations.
  • Observes the confidential nature of the Agency's services or operations.
  • Monitors compliance with service or agency schedules, referring problems to the Office Manager and/or facilities as necessary to implement program activities.

Requirements

  • High School Diploma or equivalent.
  • 2 years or more in administrative office experience.
  • Prior experience working in a school setting.
  • Customer service-oriented attitude in serving internal and external clients, staff, and families.
  • Ability to organize, prioritize, multi-task, and work independently and collaboratively in a fast-paced environment while maintaining attention to detail.
  • Proficient in Microsoft Office (Word, Excel, Access, and PowerPoint).
  • Strong verbal and written interpersonal skills.
