About the position

The Administrative Aide II for Alumni Communications at New York University plays a crucial role in supporting the University Development and Alumni Relations department. This position encompasses a wide range of clerical, secretarial, and general office duties, many of which are of a confidential nature. The successful candidate will be responsible for prioritizing office activities and delegating tasks to student and/or casual employees, ensuring that the office runs smoothly and efficiently. In addition, the Administrative Aide may act as a work leader to junior clerical support staff, providing guidance and oversight as needed. The role requires a comprehensive understanding of the department's activities, policies, and programs, as the Administrative Aide will frequently respond to inquiries from both the general public and University personnel, including senior-level staff. This position also involves customizing and composing letters, either on initiative or in response to requests for information. Proficiency in word processing is essential, as the Administrative Aide will perform general word processing duties utilizing intermediate to advanced-level functions. Furthermore, the role includes modifying and creating databases and complex spreadsheets, as well as monitoring complex department budgets and/or grants, which requires a keen attention to detail and strong organizational skills. Overall, the Administrative Aide II will serve as a vital link between the Alumni Communications department and its various stakeholders, ensuring effective communication and support for the department's initiatives.

Responsibilities

  • Perform a wide range of clerical, secretarial, and general office duties including those of a confidential nature.
  • Prioritize office activities and delegate work to student and/or casual employees.
  • Act as work leader to junior clerical support staff.
  • Respond to inquiries displaying a comprehensive knowledge of the department's activities, policies, and programs.
  • Interact with the general public as NYU liaison and with University personnel including those at the senior level to resolve issues and problems.
  • Customize and/or compose letters on own initiative or in response to requests for information.
  • Perform general word processing duties utilizing intermediate to advanced-level functions.
  • Modify and/or create databases and complex spreadsheets.
  • Monitor complex department budgets and/or grants.

Requirements

  • High School Diploma or equivalent.
  • 3+ years of office experience.
  • Experience providing a high level of customer service.
  • Proficiency with intermediate to advanced word processing, spreadsheet, and database applications.
  • Moderate to fast, accurate keyboarding.
  • Good proofreading and writing skills.

Nice-to-haves

  • 2+ years of office experience (with Associate's degree).
  • 1 year of office experience (with Bachelor's degree).
