About the position

New York University is seeking a dynamic Administrative Aide II to join the Department of History as an Assistant to the Chair. This position involves a wide range of clerical, secretarial, and general office duties, including those of a confidential nature. The Administrative Aide II will be responsible for responding to inquiries with a comprehensive knowledge of the department's activities, policies, and programs. This role requires assisting with the prioritization of office activities and delegating tasks to, as well as monitoring the work of, student and/or casual employees. The individual will also be tasked with composing letters and correspondence, performing general word processing, spreadsheet, and data entry duties utilizing intermediate-level functions, and monitoring moderately complex budgets and/or grants. The successful candidate will play a crucial role in ensuring the smooth operation of the department by managing various administrative tasks and providing support to the Chair. This includes maintaining organized records, assisting in the preparation of reports, and ensuring that all office activities are conducted efficiently and effectively. The Administrative Aide II will also be expected to maintain confidentiality in all matters related to the department and its operations, demonstrating a high level of professionalism and discretion in all interactions.

Responsibilities

  • Perform a wide range of clerical, secretarial, and general office duties including those of a confidential nature.
  • Respond to inquiries displaying a comprehensive knowledge of the department's activities, policies, and programs.
  • Assist with the prioritization of office activities and delegate to and monitor work of student and/or casual employees.
  • Compose letters and correspondence.
  • Perform general word processing, spreadsheet, and data entry duties utilizing intermediate-level functions.
  • Monitor moderately complex budgets and/or grants.

Requirements

  • High School diploma or equivalent.
  • 2 years of office experience.
  • Proficiency with intermediate-level word processing, spreadsheet, and database applications.
  • Moderate, accurate keyboarding.

Nice-to-haves

  • 1-2 years of office experience (with Associate's degree).
  • Proficiency with intermediate-level Microsoft Office.
  • Good writing and proofreading skills.
