About the position

The Administrative Aide II position within the Schools and Institutes department at NYU is a vital role that encompasses a wide range of clerical, secretarial, and general office duties, many of which are of a confidential nature. The individual in this role will be responsible for prioritizing office activities and delegating tasks to student and/or casual employees, ensuring that the office runs smoothly and efficiently. This position may also involve acting as a work leader to junior clerical support staff, providing guidance and oversight as needed. In addition to managing daily office operations, the Administrative Aide II will serve as a liaison between the university and the general public, as well as interact with university personnel, including senior-level staff, to resolve various issues and problems. The role requires a comprehensive knowledge of the department's activities, policies, and programs, which will enable the aide to respond effectively to inquiries. The aide will also be tasked with customizing and composing letters, either on their own initiative or in response to requests for information. The position demands proficiency in general word processing duties, utilizing intermediate to advanced-level functions. The aide will be expected to modify and create databases and complex spreadsheets, as well as monitor complex department budgets and/or grants. This multifaceted role is essential for maintaining the operational integrity of the department and supporting its various initiatives.

Responsibilities

  • Perform a wide range of clerical, secretarial, and general office duties, including confidential tasks.
  • Prioritize office activities and delegate work to student and/or casual employees.
  • Act as a work leader to junior clerical support staff.
  • Respond to inquiries with comprehensive knowledge of the department's activities, policies, and programs.

Requirements

  • High School Diploma or equivalent.
  • 3+ years of office experience.
  • Experience providing a high level of customer service.
  • Proficiency with intermediate to advanced word processing, spreadsheet, and database applications.
  • Moderate to fast, accurate keyboarding.
  • Good proofreading and writing skills.

Nice-to-haves

  • 2+ years of office experience (with Associate's degree).
  • 1 year of office experience (with Bachelor's degree).
