About the position

The Administrative Aide II position at New York University involves providing comprehensive administrative support to several professors within the School of Law. The incumbent will be responsible for a variety of office tasks that include clerical, secretarial, and general office duties, many of which are of a confidential nature. This role requires the individual to act as a liaison between faculty and staff, ensuring smooth communication and efficient operation within the department. The Administrative Aide will handle complex budget work, which includes monitoring department budgets and grants, and will be expected to respond to inquiries with a thorough understanding of departmental offerings, policies, and programs. In addition to managing office activities, the Administrative Aide II will prioritize tasks and delegate responsibilities to student and/or casual employees. The role also involves customizing and composing letters in response to various requests for information, as well as performing general word processing duties that require intermediate to advanced skills. The ability to modify and create databases and complex spreadsheets is essential, as is proficiency in using various software applications. This position is integral to the functioning of the department, requiring interaction with university personnel, including senior-level staff, to address specific issues and problems. The Administrative Aide will play a key role in supporting the academic and administrative functions of the law school, contributing to the overall mission of NYU Law as an innovator in legal education.

Responsibilities

  • Provide comprehensive administrative support to professors and various programs.
  • Handle complex budget work and monitor department budgets and grants.
  • Perform a wide range of clerical, secretarial, and general office duties, including confidential tasks.
  • Respond to inquiries with a comprehensive knowledge of departmental offerings, policies, and programs.
  • Prioritize office activities and delegate tasks to student and/or casual employees.
  • Interact with university personnel, including senior-level staff, regarding specific issues and problems.
  • Customize and compose letters in response to requests for information.
  • Perform general word processing duties utilizing intermediate to advanced-level functions.
  • Modify and create databases and complex spreadsheets.

Requirements

  • High School Diploma or equivalent or an Associate's degree or some college.
  • 3+ years of office experience (with High School diploma) or 2 years of office experience (with Associate's degree or some college).
  • Proficiency with intermediate to advanced word processing, spreadsheet, and database applications.
  • Moderate to fast, accurate keyboarding skills.
  • Good proofreading and writing skills.

Nice-to-haves

  • Bachelor's Degree preferred.
  • 1+ years of office experience (with Bachelor's degree).
  • Proficiency with intermediate to advanced Microsoft Office or proficiency with Apple.
  • Knowledge of desktop publishing software.
  • Knowledge of Access.
