About the position

The Administrative Aide III position within the Park and Recreation Department is an advanced administrative role that involves supervising clerical staff and delegating specific administrative tasks. This position is crucial for supporting department operations and serves as a key point of contact for internal teams, city officials, and the public. The role is characterized by a high level of administrative coordination and responsibility for managing multiple complex tasks, including preparing detailed reports and overseeing project timelines. In this role, the Administrative Aide III will frequently engage with community members, city officials, and vendors to ensure the smooth execution of recreational programs and park services. The position is well-suited for individuals who thrive in a fast-paced environment, can handle sensitive information, and maintain a high level of organization amidst frequent interruptions. The work schedule is Monday to Friday from 8:00 AM to 5:00 PM, with the possibility of working outside regular hours for special events, though total hours will not exceed 40 per week.

Responsibilities

  • Conduct research and statistical basic analysis.
  • Evaluate and provide recommendations for the resolution of internal and interdepartmental problems.
  • Gather and develop budget data for preparation of the annual budget.
  • Respond to routine correspondence from citizens requesting information.
  • Represent the work unit at meetings with outside groups to exchange ideas and information.
  • Analyze and evaluate information, developing alternatives and formulating recommendations.
  • Conduct management analysis of a minor nature related to operations and organization and present findings.
  • Analyze financial reports and information, perform reconciliations, and prepare schedules and reports from other source data.
  • Plan, delegate, and evaluate the work of others.
  • Assume responsibilities of supervisor in his/her absence.

Requirements

  • High School Diploma or GED.
  • 3 years of progressively responsible administrative or clerical experience.
  • 1 year of experience managing multiple complex tasks, such as preparing reports and managing timelines.
  • Proficiency in using office software, including word processing, spreadsheets, and project management tools.
  • Must have a valid Kansas driver's license.
  • Must be legally authorized to work in the United States without the need of a sponsorship.
  • Attainment of passing scores on pre-employment tests.

Nice-to-haves

  • Bachelor's degree in public administration or business administration.
  • 1 year experience working in a municipal or governmental setting.
  • 1 year experience engaging with community members, vendors, or other external stakeholders.
  • 1 year of supervisory experience.
