About the position

The Administrative Aide III position at Prince George's County Government is an advanced level administrative and secretarial role responsible for providing comprehensive support to the Associate Director and staff of the Office of Administrative Services. This position involves implementing office policies, managing workflows, and ensuring efficient operations within the department, all while adhering to established guidelines and regulations.

Responsibilities

  • Provide administrative and secretarial support for the Office and its Divisions.
  • Assist in the implementation of Office policies and procedures and departmental goals.
  • Perform analysis of internal systems and operations to ensure efficiency and recommend corrective actions.
  • Draft procedures to address operational issues and provide recommendations for solutions.
  • Prepare correspondence, memoranda, contract documents, and other related documents.
  • Prepare financial documents for the acquisition of materials and services in compliance with county requirements.
  • Review and process payment requests and purchase requisitions.
  • Coordinate office workflow and ensure effective office management operations.
  • Serve as a liaison for visitors and manage telephone inquiries.
  • Coordinate office activities, events, and special projects.
  • Monitor office expenditures to maintain budget compliance.
  • Establish and maintain departmental filing systems and retention schedules.
  • Research and organize materials for meetings and workshops.
  • Participate as a critical employee in the Department's Snow and Ice Control Program.

Requirements

  • Must have experience at the Administrative Aide II level or an Associate's degree in Business Administration or Secretarial Science.
  • One year of secretarial/administrative experience involving public interaction and office management.
  • Proficient in typing and Microsoft Office Suite.
