About the position

The Administrative Aide Manager provides essential administrative and analytical support to Elected Officials and County Administration, overseeing various office management tasks, community relations, and fiscal support assignments. This role involves supervising staff, managing daily operations, and ensuring effective communication within the county's administrative framework.

Responsibilities

  • Supervises, trains, and evaluates staff; provides input in hiring, termination, and disciplinary action decisions.
  • Supervises the daily administrative operations and customer service activities; plans daily workload and assigns work to staff.
  • Greets the public in person or by telephone; provides information about programs, functions, and procedures.
  • Reviews and summarizes memos, agendas, news articles, reports, and other communications for Elected Officials and County Administration.
  • Gathers source materials for articles or speeches; assists in drafting and proofreading letters and other documents.
  • Reviews all informational social media, newsletters, and video for Elected Officials with the communications office.
  • Conducts research, data collection, and analysis of information for presentations and meetings.
  • Assists with agenda preparation and event approval for Board of County Commissioners and County Administrators.
  • Coordinates and organizes calendars, schedules, and related matters.
  • Makes arrangements for meetings and assists with taking notes and minutes as required.
  • Serves as a point of contact for the community to raise issues or concerns with their commissioner or County staff.
  • Provides reports to the Commissioner regarding significant issues and requests from citizens.
  • Establishes and maintains filing systems and research materials for the County Commissioners and County Administrator departments.
  • Routes mail/email to the proper department and responds to routine correspondence.
  • Maintains records for associated boards and councils; informs Elected Official and/or County Administration of vacancies.
  • Coordinates presentations for awards, proclamations, and certificates of appreciation.
  • Attends community events and meetings and reports back on issues of concern.
  • May attend community and county meetings as a representative for Elected Officials or County Administration.
  • May provide administrative support in departmental budget preparation and monitoring activities.
  • May supervise volunteers and interns.
  • Maintains office supplies and inventory.
  • Acts in a confidential capacity in administrative support tasks.
  • Interacts with the public in an effective and courteous manner.
  • Demonstrates commitment to the County's mission, vision, values, and goals.
  • May have a role in the County's disaster preparation and/or recovery efforts.

Requirements

  • Experience in administrative support or office management roles.
  • Strong supervisory and leadership skills.
  • Excellent communication and interpersonal skills.
  • Ability to conduct research and analyze data effectively.
  • Proficiency in drafting and proofreading documents.
  • Familiarity with social media and public communication strategies.
  • Organizational skills and attention to detail.
