About the position

The Administrative Aide for the Parks and Recreation Department in Pittsburgh serves as a vital support role, assisting the Director and other department staff by acting as a liaison to various departments and the public. This position involves managing schedules, handling correspondence, and coordinating special projects, ensuring effective communication and operational efficiency within the department.

Responsibilities

  • Maintains the Director's schedule and sets up meetings using the online calendar scheduling system.
  • Assists with the entry of bi-weekly payroll for the department using the City's Ceridian Payroll program.
  • Files necessary paperwork for the administrative office, including letters and personnel information.
  • Responds to public concerns through in-person engagements, phone calls, and email.
  • Serves as an information source for Citiparks staff and outside agencies, coordinating special projects as assigned.
  • Connects customers/residents to appropriate Citiparks program areas and coordinates timely responses to requests.
  • Prepares correspondence and written responses to public complaints and questions on behalf of the Director.
  • Coordinates and attends meetings with the public, community groups, and departmental staff regarding projects and services.
  • Represents the Director at public functions and meetings as assigned.
  • Provides clerical support for the Director and other Citiparks staff members.
  • Handles phone and written correspondence, including postal mail and email.
  • Creates and maintains databases and documents research for Community Services.
  • Performs record keeping tasks for City, state, and federally funded programs as assigned.
  • Manages responsibilities in accordance with applicable laws and regulations, ensuring fair treatment of employees.
  • Performs activities of related lower-level personnel as assigned.

Requirements

  • Three (3) years of full-time experience in performing administrative and research duties.
  • High School diploma or GED equivalency is required.
  • Must obtain CPR and First Aid Certificate within six (6) months of hire and maintain throughout employment.
  • Must be a resident of the City of Pittsburgh prior to employment and remain a resident throughout employment.
