About the position

The Administrative Aide at the Phoenix Public Library is responsible for providing first-line customer service and critical support to the Management Services Division. This role involves managing communications, processing invoices, maintaining reports, and overseeing public room reservations, all while ensuring a high level of customer service in a fast-paced environment.

Responsibilities

  • Provide first-line customer service by telephone, in-person, or by e-mail.
  • Procure goods and services for the division.
  • Process invoices for payment and track documents.
  • Create and maintain reports and spreadsheets.
  • Manage the division's SharePoint website.
  • Draft meeting agendas and minutes.
  • Manage public room reservations at Burton Barr Library.

Requirements

  • Four years of experience performing clerical duties or a Bachelor's degree in public or business administration, or a related field.
  • Strong customer service skills.
  • Strong verbal and written communication skills.
  • Ability to meet strict deadlines and work independently.

Nice-to-haves

  • Experience with monitoring and recording retention records.
  • Multitasking in a fast-paced environment.
  • Procurement and payment reconciling experience.
  • Data entry and record keeping skills.
  • Experience with Microsoft Office, including Word, Outlook, and Excel.
  • Updating SharePoint content.
  • Scheduling and calendaring experience.
  • Drafting agendas and meeting minutes.
