About the position

The Administrative Aide for Planning and Development Services at the City of Mesquite is responsible for providing highly responsible and complex administrative support to the Planning and Development Services staff. This role is essential in ensuring that professional, effective, and efficient services are delivered to City staff, departments, and the general public. The Administrative Aide will also provide training and direction to other support staff as needed, contributing to a collaborative work environment. The position requires a high level of organization and attention to detail, as the aide will coordinate procedures, hearings, and case management for rezoning and subdivisions in accordance with local government codes and ordinances. This includes preparing agendas and packets for meetings of the Planning and Zoning Commission and the Board of Adjustment, as well as assisting staff with case preparation and scheduling public hearings. In addition to these responsibilities, the Administrative Aide will attend meetings of various boards, take and transcribe minutes, and prepare associated materials. The role also involves coordinating procedures for the repair and condemnation of structures, which includes preparing public notices, conducting title searches, and assisting the Legal Department with appeals. The aide will provide skilled support to the Planning and Development Services Administration staff, participate in special projects, and handle confidential information appropriately. The position requires the ability to compose and review a variety of documents, answer public inquiries, and manage payroll and time reporting records. The Administrative Aide will also participate in the annual budget preparation and administration, monitor expenditures, and assist customers with the Energov software system and the Citizen Self Service Portal. Overall, this role is vital for maintaining the efficiency and effectiveness of the Planning and Development Services Division.

Responsibilities

  • Provide complex administrative support for Planning and Development Services staff.
  • Coordinate procedures, hearings, and case management for rezoning and subdivisions.
  • Assist staff with case preparation and scheduling of public hearings.
  • Attend meetings of Planning and Zoning Commission, Board of Adjustment, and Building Standards Board; take and transcribe minutes.
  • Coordinate procedures for the repair and condemnation of structures, including agenda preparation and public notice.
  • Provide skilled support to Planning and Development Services Administration staff; train and direct other support staff as needed.
  • Compose, prepare, and review memorandums, correspondence, reports, and documents.
  • Answer questions and provide information to the public; handle citizen complaints and questions.
  • Coordinate, review, and process payroll and time reporting records for the division.
  • Participate in annual department budget preparation and administration; monitor and control expenditures.
  • Input and process permits, plans, and contacts within the Energov software system.
  • Prepare and maintain a variety of files and filing systems for divisions.

Requirements

  • High School Diploma or GED.
  • Four years of progressively responsible experience providing complex administrative assistance and support to a department or division head.
  • Type 35 wpm.
  • Possession of a valid driver's license.
  • Possession of a current Notary Public Commission issued by the State of Texas.
