About the position

The Principal Administrative Aide position at the Montgomery County Department of Permitting Services (DPS) is a vital role that provides professional-quality administrative support within the Division of Customer Support & Outreach. The position involves a variety of office duties aimed at enhancing customer service and ensuring efficient operations within the department, which issues approximately 40,000 building permits annually and conducts numerous inspections.

Responsibilities

  • Support the customer service front desk by ascertaining the nature of the customer's visit and providing accurate information or referrals.
  • Query callers to ascertain the nature of calls and provide accurate information or refer to appropriate staff.
  • Schedule individual and group meetings using a software scheduling program, accommodating in-person, virtual, or hybrid formats.
  • Arrange meetings, workshops, and similar gatherings, including scheduling locations, notifying participants, preparing and distributing documents, attending, and taking notes.
  • Maintain records and files in both electronic and hardcopy formats.
  • Use word processing and computer programs to prepare documents such as letters, memos, and forms.
  • Create spreadsheets, perform calculations, draft reports, track information, and complete other related tasks using computer programs.
  • Perform other duties as related to the position.

Requirements

  • Graduation from high school or High School Certificate of completion recognized in the State of Maryland.
  • Two (2) years of progressively responsible office support experience.
  • An equivalent combination of education and work experience may be substituted.

Nice-to-haves

  • Experience providing customer service in a compliance or regulated environment, such as licensing or permitting.
  • Experience assisting customers from diverse backgrounds.
  • Experience using Outlook, Microsoft 365, Microsoft Teams, or similar software programs.
  • Experience creating and manipulating simple spreadsheets and performing calculations.
  • Experience extracting or processing information from various sources.
