About the position

The Administrative Aide - Safety and Training position is a part-time role within the Department of Public Works for the City of Troy, Michigan. The primary focus of this role is to maintain safety and training records, coordinate training classes, and ensure compliance with safety regulations. The position requires strong organizational and communication skills to effectively support safety initiatives and collaborate with various departments.

Responsibilities

  • Maintain all safety and training records, filings, and reports.
  • Create and maintain a database for safety data sheets.
  • Work with supervisors and other leaders to understand and strategize safety and training needs.
  • Research training options, vendors, and opportunities.
  • Coordinate classes, venues, and attendees.
  • Act as the subject matter expert on compliance and regulations.
  • Explain rules, regulations, and procedures to employees and provide and collect required documents.
  • Compile and run reports for the Department of Public Works and Human Resources Department.
  • Act as the injury liaison to the Human Resources Department.
  • Assist in ensuring all safety equipment and personal protection items are stocked, in working order, and compliant with OSHA standards.
  • Maintain the highest confidentiality standards when working with confidential information.
  • Perform data entry and/or audits of data.
  • Facilitate the Safety Committee meetings.
  • Involvement on various employee or other committees as assigned.
  • Perform other duties as assigned.

Requirements

  • Two (2) years of college coursework in business administration, public administration, or a related field from an accredited college or university.
  • Two (2) years of full-time administrative experience, or an equivalent combination of training and experience.
  • Proficiency with Microsoft Word, Excel, Outlook, and Adobe Acrobat.
  • Excellent organization and communication skills.
  • Excellent customer service skills.
  • Must possess a valid Michigan driver license with a good driving record.

Nice-to-haves

  • Bachelor Degree in Business Administration, Public Administration, or a related field from an accredited college or university.
  • Experience working in a municipality, other public employer, or non-profit entity.
  • Experience with Safety and Training.
  • Experience creating and maintaining Safety Data Sheets.
  • Experience performing audits.
  • Experience facilitating meetings.
  • Experience working with leadership.
  • Experience with OSHA.
