About the position

The Administrative Aide position within the Howard County Sheriff's Office involves professional and administrative work that manages several critical functions of the Office. This includes oversight of the budget and responsibility for special projects within the Office. The role requires frequent contact with the Sheriff and Chief Deputy, assisting in the development of the Office's budget, which encompasses cost estimates, justifications, and testimony preparation. The Administrative Aide will continually assess spending activities to ensure compliance with the budget and recommend adjustments for unexpected costs. Additionally, the position involves ensuring that money deposited to the Office or to be returned from the Office is accounted for appropriately. The Administrative Aide performs advanced technical level administrative support work, which may include supervisory responsibilities under general supervision from an administrative or technical superior. The work typically involves administrative support, technical tasks, and secretarial work assisting legal staff or an executive-level government official. The role applies bookkeeping, accounting, and data processing principles to accounting and financial record-keeping and reporting systems at an advanced technical level. Responsibilities may also include independent management of significant administrative or clerical processes. Essential duties include processing OSHA reports, acting as a liaison to the County Finance Department, and ensuring that moneys received for various activities are accounted for. The Administrative Aide will assist the Sheriff and Chief Deputy in budget preparation by soliciting input from staff, computing cost impacts, evaluating requests, and making recommendations for responsible resource use. The position also requires continual review of Office expenditures to ensure compliance with the approved budget, periodic meetings with the Sheriff and Chief Deputy to provide updates on budget and expenses, and making recommendations on budget modifications as unexpected issues arise. The role also involves working closely with the County's SAP system and financial reporting from various programs.

Responsibilities

  • Process OSHA reports
  • Act as liaison to County Finance Department

  • Liaison to County Purchasing Office for budgeted items
  • Oversee PDQ Coordinator's work and agency use of PDQ program
  • Assist with financial reporting and audits
  • Backup for Sheriff's administrative support positions
  • Undertake special projects for the Sheriff's Office

Requirements

  • Associate degree and two (2) years of experience or equivalent combination of education and experience
  • Knowledge of basic accounting procedures
  • Knowledge of grant management
  • Proficiency in Windows-based word processing, spreadsheet programs, PowerPoint, Access, and Microsoft web-based programs
  • Ability to act as liaison between the Sheriff's Office and other county offices
