About the position

The Administrative Aide position at Southern Illinois University provides essential administrative support to the Director of the Office of Community Engagement and the Director of the Institute for Rural Health. This role involves managing daily operations, facilitating communication between various stakeholders, and ensuring efficient office functioning. The incumbent will act as a liaison between the directors and other university departments, as well as external agencies, while upholding the university's commitment to diversity, inclusion, and continuous improvement.

Responsibilities

  • Provide administrative assistance and office support to the Directors.
  • Perform day-to-day operations, including managing calendars and relaying messages.
  • Manage departmental files and ensure proper retention and access.
  • Assist in gathering information and drafting agendas for meetings.
  • Transcribe meeting minutes and coordinate the dissemination of materials.
  • Draft and edit routine correspondence for the Directors.
  • Arrange meetings and assist in preparation for those meetings.
  • Maintain an overview of unit responsibilities, activities, and deadlines.
  • Act as a liaison between the Office of Community Engagement and other departments.
  • Make travel arrangements and complete travel vouchers for reimbursement.
  • Manage university P-Card and maintain documentation for purchases.

Requirements

  • High school graduation or equivalent.
  • Five years of experience in business, finance, accounting, or a related field, which can include a combination of education and progressively responsible office experience.
