About the position

The Administrative Aide to the City Council is responsible for assisting in the execution of complex and confidential assignments within the City Council office. This role aims to conserve the time of the Councilor by managing administrative tasks that do not require their direct attention. The position operates under the direction of the City Clerk Manager and Council President, with work reviewed through observation and reports.

Responsibilities

  • Responds to City Council related questions via walk-ins, mail, email, or phone calls.
  • Drafts for approval resolutions and ordinances of the City Council.
  • Researches specific topics for individual Councilors.
  • Prepares communications, such as memos, emails, reports and other correspondence as requested.
  • Assists in the maintenance of department files both in hard copy and electronically.
  • Performs related work as required.

Requirements

  • Bachelor's degree in a related field.
  • One to three years of experience in difficult and responsible administrative work.
  • Extensive knowledge of Council programs, functions, operations, policies and procedures.
  • Thorough knowledge of rules, regulations, laws and ordinances governing the work performed.
  • Considerable knowledge of the principles and practices of modern office management and supervision.
  • Considerable general knowledge of the organization, programs, functions and interrelationships of the various municipal departments.
  • Working knowledge of administrative analysis, research and preparation of administrative reports.

Nice-to-haves

  • Experience with setting up and coordinating virtual meetings via Zoom.
