About the position

The Front Office Administrative Assistant plays a crucial role in creating a welcoming and professional environment at the parish office. This position serves as the first point of contact for visitors and callers, embodying the values of the Catholic community and ensuring that every interaction reflects the mission of the parish. The ideal candidate is a bilingual (English and Spanish) practicing Catholic who is passionate about fostering relationships and serving the spiritual needs of the community.

Responsibilities

  • Greet and assist visitors with warmth and hospitality.
  • Answer and direct telephone calls professionally, handling inquiries regarding sacraments, policies, and parish events.
  • Assist visitors with sacramental inquiries, manage required documentation, and ensure accurate record-keeping.
  • Provide secretarial and clerical support to priests, staff, and ministry leaders, including correspondence and project coordination.
  • Schedule Mass intentions and maintain accurate records.
  • Keep the lobby and reception area neat and orderly; manage office equipment, supplies, and maintenance.
  • Assist with the collection of funds for parish initiatives and events, ensuring all transactions are handled respectfully and accurately.
  • Validate facility bookings and address access-related inquiries or issues as needed.
  • Assist with mailings, copying, and email communication, and take on additional tasks as assigned.

Requirements

  • Fluency in English and Spanish (speaking, reading, and writing) is required.
  • Knowledge of the structure and teachings of the Roman Catholic Church.
  • Strong verbal and written communication skills.
  • Skilled in using office productivity software such as Microsoft Office or Google Workspace.
  • A welcoming and empathetic demeanor with exceptional customer service skills.
  • Capable of prioritizing tasks, multitasking, and managing time efficiently.
  • Ability to handle sensitive matters and maintain strict confidentiality.
  • A proactive, self-starting attitude with the ability to work independently.

Nice-to-haves

  • Experience in a parish or religious organization setting.
  • Familiarity with sacramental processes and church events.
