About the position

The Administrative Aide at New York University provides essential administrative and technical support to the Facilities and Construction Management offices. This role involves maintaining financial and budgetary spreadsheets, monitoring budget statuses, reconciling discrepancies, and developing various financial reports. The Aide serves as the primary contact for staff, customers, and vendors, ensuring effective communication and support within the department.

Responsibilities

  • Provide administrative and technical support to the Facilities and Construction Management offices.
  • Maintain complex financial and budgetary spreadsheets.
  • Assist with monitoring budget status and reconcile discrepancies in accounts.
  • Develop financial, procurement, and invoice tracking reports.
  • Record expenditures and/or payments of building services expenses and ensure correct account postings.
  • Serve as the primary contact for staff, customers, and vendors.

Requirements

  • High School diploma or equivalent.
  • 3 years of office experience.
  • Experience providing a high level of customer service.
  • Excellent interpersonal and organizational skills.
  • Strong verbal and written communication skills.
  • Proficiency with intermediate to advanced word processing, spreadsheet, and database applications.
  • Moderate to fast, accurate keyboarding skills.
  • Good proofreading and writing skills.

Nice-to-haves

  • 2 years of office experience with an Associate's degree or 1 year of office experience with a Bachelor's degree.
  • Proficiency with intermediate to advanced Microsoft Word and Excel.
  • Knowledge of desktop publishing software and Access.
