About the position

Parsons is seeking a dedicated Administrative Aide to support a high-profile construction project in Boise, ID. This role involves providing and organizing administrative activities, completing various routine and non-routine tasks, and ensuring compliance with company policies. The ideal candidate will thrive in a collaborative environment and contribute to the success of the team.

Responsibilities

  • Serve as an initial point of contact in welcoming guests and new employees.
  • Act as IT liaison for asset inventory, coordination, and return shipping of assets.
  • Maintain office supply inventory, including ordering, organization, and stocking.
  • Assist employees and visitors with access badge requests.
  • Coordinate with space management personnel to ensure workspaces are available to new and visiting employees.
  • Support office team by alerting building security of incoming guests.
  • Assist with meeting preparations, luncheon orders, etc.
  • Assist with expense reporting.
  • May be the primary liaison between two or more groups, ensuring timely and accurate distribution of information and materials.
  • Relieve manager of administrative tasks, understanding priorities within the area management team.
  • Maintain document archiving and retrieval systems, prioritizing the flow of project reports and correspondence.
  • Keep informed concerning company, unit, and project policies and procedures.
  • Serve as focal point for gathering newly published policies and disseminating information.
  • Establish and maintain follow-up files and confidential files for immediate supervisor.
  • Keep manager informed of all pertinent action/pending action.
  • May make informal presentations occasionally.
  • Initiate reports and presentations as appropriate for any or all functions.
  • May support project controls with administrative tasks as required.

Requirements

  • Associate's or equivalent degree in Business (or equivalent).
  • 1+ years of experience in an administrative/clerical capacity, preferably for a technical, infrastructure engineering, or construction firm.
  • Background in clerical support, managing project documents, writing project correspondence, and using office equipment.
  • Demonstrates proficiency in keyboard skills and the utilization of MS Windows and related word processing, spreadsheet, and presentation software.
