About the position

The Administrative Assistant at The Neighborhood at Madison plays a crucial role in supporting human resources and accounting functions within the community. This position is responsible for ensuring that services meet or exceed quality standards while assisting with payroll processing, recruiting, onboarding, and maintaining personnel files. The role also involves general administrative duties, resident care support, and contributing to a welcoming environment for residents and visitors.

Responsibilities

  • Assist the Associate Director with processing payroll and daily time and attendance.
  • Support team member recruiting and onboarding processes.
  • Track training and maintain personnel files and employment binders.
  • Administer benefits and workers' compensation programs.
  • Provide generalist accounting and administrative services.
  • Greet potential residents, families, and visitors, managing calls and messages.
  • Monitor the Bistro area for cleanliness and atmosphere.
  • Facilitate personalized activities for residents, ensuring engagement and wellness.
  • Maintain accurate documentation of inquiry calls and visits for marketing efforts.
  • Assist with Equal Employment Opportunity (EEO) and workers' compensation matters.
  • Inventory and order community office supplies, logging invoices for approval.
  • Complete all required training and assist with new hire paperwork and orientation.
  • Participate in creating a warm professional environment and maintain communication with associates.

Requirements

  • 1-year related experience in a business office or administrative role.
  • Associate or bachelor's degree preferred.
  • Proficient in MS Office and Phoenix applications.
  • Ability to multitask and manage stress effectively.
  • Demonstrated knowledge of state regulations and compliance tools.
  • Excellent verbal and written communication skills.
