About the position

The Administrative Aide position at the Maryland Department of Public Safety and Correctional Services (DPSCS) involves providing essential administrative support to various training units within the agency. This role is crucial for ensuring the smooth operation of training programs and involves tasks such as scheduling, data entry, and managing confidential records. The position requires a customer service-oriented individual who can work collaboratively within a team to support the agency's mission of public safety and rehabilitation.

Responsibilities

  • Provide support to the Law Enforcement Training Director in managing daily operations and special projects.
  • Maintain important and confidential records, schedules, and supplies.
  • Provide administrative support to Law Enforcement instructors and staff, including development of certificates and class preparation.
  • Support the Police Entrance - Level Training Unit by creating tests, monitoring tuition payments, and organizing student folders.
  • Proofread and format outgoing correspondence for completeness and accuracy.
  • Draft routine and complex correspondence for the Director's signature.
  • Prepare surveys and maintain statistical reports and records.
  • Receive phone calls and visitors, scheduling appointments as necessary.
  • Provide information to callers regarding rules, regulations, and operational information.
  • Establish and oversee office and training supplies procurement activities.
  • Develop, revise, and implement office procedures.
  • Perform other duties as necessary.

Requirements

  • Graduation from an accredited high school or possession of a high school equivalency certificate.
  • Four years of secretarial or clerical work involving typing duties.
  • Two years of experience in data entry, sorting data, formatting spreadsheets, preparing reports, and record keeping.

Nice-to-haves

  • Experience with data entry and manipulating spreadsheets.
  • Experience working in a law enforcement agency.
  • Experience with COMAR interpretation.
