About the position

The Administrative Assistant at the Warren Village United Airlines Learning Center plays a crucial role in supporting the operations of a high-quality early learning environment for children aged 6 weeks to 10 years. This position involves a variety of clerical and office duties, including acting as the receptionist, managing compliance and onboarding processes, and providing administrative support for meetings and events. The role emphasizes a commitment to fostering a nurturing and inclusive environment, aligning with the organization's values of accountability, collaboration, and integrity.

Responsibilities

  • Facilitate the onboarding process for new teaching staff, ensuring understanding of Learning Center policies and procedures.
  • Maintain complete and compliant staff files and manage a compliance calendar.
  • Organize training sessions for medication administration and other necessary areas.
  • Coordinate meetings, events, and professional development sessions, preparing necessary materials.
  • Maintain accurate records for children, families, and staff, including updating the Google dashboard and PDIS profiles.
  • Welcome and greet visitors, manage sign-in/sign-out procedures, and ensure security protocols are followed.
  • Create and distribute flyers, handouts, and other documents to communicate with families.
  • Manage data for children, families, and staff, including attendance tracking and meal planning.
  • Perform minor repairs and maintenance as needed and assist during emergency drills.

Requirements

  • High School diploma/GED or equivalent required.
  • One year of related experience in an administrative role.
  • Early Childhood Teacher (ECT) certificate and Large Center Director credential.
  • Willingness to undergo and pass background checks as required by state law.
  • Experience using Brightwheel.

Nice-to-haves

  • Associates degree in early childhood education or a closely related field.
  • Conversational and written proficiency in Spanish.
  • Experience with culturally diverse populations and trauma-informed care practices.
  • CPR/First Aid certification.
