About the position

The Administrative and Program Assistant at Live Coal is a part-time role focused on supporting the Executive Director and collaborating with staff and contractors in the visual arts sector. The position involves direct communication with the ED, assisting in art-making sessions, managing front desk operations, and ensuring the smooth execution of workshops, exhibitions, and community events. The assistant will also handle administrative tasks, maintain cleanliness in shared spaces, and support social media and website updates.

Responsibilities

  • Be in direct and regular communication with the Executive Director (ED)
  • Work closely with other staff members and contractors
  • Assist or occasionally lead art-making sessions at various sites
  • Staff the front desk and welcome visitors to on-site and brick-and-mortar spaces
  • Maintain an excellent understanding of all programs
  • Assist with workshops, exhibitions, and community events
  • Support Live Coal art instructors in the classroom or workshop sites
  • Hold keys to various spaces and manage access appropriately
  • Alert ED of any conflicts with community members or sites
  • Assist with social media updates and website news
  • Archive all press related to Live Coal
  • Assist with administrative tasks as they develop
  • Help with installation and de-installation of exhibitions
  • Assist colleagues with general tasks as necessary
  • Manage private views and events for gallery programming
  • Ensure cleanliness of office, kitchen, toilets, and common areas
  • Work with Operations Manager to monitor and order supplies

Requirements

  • Bachelor's degree or Associate's degree preferred
  • 2-5 years of administrative, art, and/or programming experience
  • Experience in visual arts
  • Proficient in Microsoft Word and Excel
  • Strong customer service skills
  • Excellent communication skills
  • Creative problem-solving skills
  • Reliable transportation
  • Attention to detail
  • Ability to work independently and in-person
  • Must pass a background check

  • Graphic design experience
  • Experience working with children of all ages and backgrounds
