About The Position

Lower Columbia College is seeking an energetic and organized Administrative Assistant to join the Campus Services team. This role is essential in providing mail services, assisting with moves, and managing surplus property, all while fostering a collaborative and inclusive environment for the campus community.

Requirements

  • High school diploma or equivalent.
  • Experience in administrative support or related field.
  • Strong organizational skills and attention to detail.
  • Ability to operate various types of equipment and machinery related to mail services and inventory management.
  • Excellent customer service skills and ability to communicate effectively with diverse populations.

Nice To Haves

  • Experience with computerized maintenance management software (DirectLine/Megamation).
  • Familiarity with budget tracking and expenditure monitoring.

Responsibilities

  • Provides exceptional customer service and creates a welcoming environment for all visitors, staff, faculty, and students.
  • Collects incoming mail and freight from USPS and drops off outgoing mail and freight to USPS daily.
  • Sorts, delivers, and processes mail, parcels, and packages including bulk mail, business reply, insured, registered, certified, and regular mail.
  • Receives, loads, unloads, moves, stores, and distributes materials, including flammable and hazardous materials, and equipment.
  • Inspects incoming items to verify conditions and quantities received.
  • Operates self-propelled lift trucks, hand trucks, pallet jacks, dollies, carts, vans, and other loading and moving equipment necessary for daily operations.
  • Maintains good safety practices; maintains warehouse arrangement and maximizes space utilization to accommodate current stock.
  • Operates postage meters, addressing, and other mailing machines; inspects, cleans, maintains, troubleshoots, and monitors supplies of mailing equipment and machines.
  • Conducts physical inventories; prepares and maintains perpetual inventory, records, and correspondence files; keeps other records as required.
  • Assists with biennial capital inventory and tagging of the newly arrived capital items.
  • Assists with moves and disposal of surplus or excess property.
  • Participates in ice and snow removal during inclement weather conditions.
  • Assists the office staff with entering and assigning work orders to appropriate departments using computerized maintenance management software.
  • Processes and tracks preventative maintenance work orders to ensure timely completion.
  • Assists with tracking budgets and monitoring department expenditures in Excel and through online purchase requisition software.
  • Issues parking permits and keys to faculty and staff.
