About the position

The Administrative Assistant 3 position plays a vital role in supporting the WorkForce Services Division by managing personnel, supplies, and operational requirements for two WorkSource offices located in Tacoma/Pierce and Joint Base Lewis McChord (JBLM). The ideal candidate will be highly organized, excel in customer service, and contribute to process improvement efforts while handling a high-volume workload in a team-oriented environment.

Responsibilities

  • Provide higher-level personnel and payroll administrative support.
  • Coordinate necessary paperwork for personnel recruitment, selection, appointment, and promotion.
  • Track and monitor performance evaluation schedules.
  • Maintain timesheets and leave requests; monitor leave balances and reconcile charge codes used by staff.
  • Ensure records are kept secured.
  • Review and inform supervisors of updated and new policies or procedures.
  • Manage performance notices and annual reviews.
  • Support budget preparation: process research, monitor and track expenditures; review, process and verify program documents and financial records.
  • Monitor equipment and supply needs; prepare estimates; place orders; receive and stock inventory.
  • Track surplus and transfer of equipment.

Requirements

  • High school graduation or GED AND three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
  • Formal education will substitute year-for-year for experience, or a combination of education and/or relevant experience totaling at least seven (7) years.
  • A Master's degree will substitute for one year of the required experience.
