About the position

The Administrative Assistant 3 position at The Ohio State University involves providing comprehensive administrative support to the Deputy Director of the Division of Hematology. This role includes managing office functions, supporting senior researchers, and ensuring compliance with university policies regarding fund management. The assistant will also be responsible for coordinating schedules, travel, and meetings, as well as assisting with grant applications and various administrative tasks.

Responsibilities

  • Manage office business functions and direct activities for the Deputy Director, Division of Hematology.
  • Provide support to senior hematology researchers in the Pelotonia Institute of Immuno-Oncology.
  • Work with the Division Business Manager to manage and reconcile funds and physician discretionary accounts.
  • Ensure proper use of funds in adherence to university expenditure policies.
  • Act as a mentor to division office associates and convey directives and information.
  • Research, gather, and summarize information to aid in decision-making and strategic planning.
  • Participate in developing and implementing administrative and operational policies and procedures.
  • Assist in preparing business plans to support program growth.
  • Type and assist with grant applications, manuscripts, and report preparations.
  • Manage physician calendars and coordinate travel plans and reimbursements.
  • Plan and schedule meetings and conferences, and track CME records.
  • Handle physician credentialing and reappointment materials.

Requirements

  • Minimum of six months experience using computers to generate a variety of materials.
  • Six months experience in office practices and procedures.
  • Six months experience in customer service.
