The University of Nevada, Reno is seeking an Administrative Assistant 4 for the Physician Assistant Studies Program. This full-time position is responsible for managing program operations, overseeing budgets, human resources, and recruitment processes, while providing high-level executive support to the program director. The role is crucial for ensuring the smooth operation of the program office and teaching facilities.

  • Coordinate and oversee staffing for program committees, ensuring appropriate maintenance of committee agendas and summaries.
  • Collaborate with administrative assistants to ensure all program functions have sufficient coverage.
  • Oversee the PA Program calendar.
  • Manage annual curriculum and operations retreats in coordination with the director of curriculum and program director.
  • Serve as coordinator for personnel recruitments; manage recruitment processes for faculty and staff.
  • Onboard new program staff.
  • Act as program liaison to UNR Med, UNR, UNR Med Dean's Office, and other related departments and units.
  • Develop, monitor, manage, analyze, and evaluate program operating budget and gift funds.
  • Manage purchasing cards for program faculty staff, including reconciliations.
  • Create and process requisitions and purchase orders for department purchases, including annual renewals of electronic resources.
  • Create travel authorizations and process reimbursements for program travel.
  • Manage internal program faculty development funds with regular reporting to the program director.
  • Assist with program accreditation, including data collection, committee work, accreditor site visit planning, and document preparation.
  • Manage ongoing accreditation self-assessment process in coordination with the program director.
  • Graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience, including administrative/program support to professional staff and management.
  • Experience performing secretarial duties in support of a manager.
  • Experience coordinating communications between the manager, staff, and program clientele.
  • Supervision of subordinate staff.
  • Researching information from internal and external sources.
  • A valid Class 'C' driver's license or higher operator's license is required.
  • Experience in a higher education environment.
  • Familiarity with budget management and financial reporting.
