About the position

The Administrative Assistant 4 position at the Department of Commerce involves providing professional-level administrative support to the Office of Economic Development and Competitiveness (OEDC). The role requires in-depth knowledge of division policies and performance measures, coordinating policy matters, supervising staff, and managing complex assignments. The position aims to enhance operational efficiency and support the Assistant Director in achieving the division's strategic goals while promoting a diverse and inclusive workplace.

Responsibilities

  • Provide administrative support to the OEDC, exercising independent judgment on administrative management matters.
  • Coordinate all written and oral responses to inquiries and requests directed to the Assistant Director (AD).
  • Schedule daily activities of the AD and manage conflicts based on shifting priorities.
  • Lead the Division Operations Team to ensure continuity in processes and protocols.
  • Track and coordinate high-level assignments to ensure compliance with internal processes and deadlines.
  • Oversee quality control in Results Commerce by preparing quarterly reports and managing public disclosure requests.
  • Manage all divisional items processed for the Governor's attention, including outreach initiatives and strategic fund calls.
  • Delegate workload responsibilities and provide regular feedback and coaching to staff.

Requirements

  • High school graduation or GED and four years of progressively responsible experience in office/clerical, secretarial, bookkeeping, or general administrative work.
  • Experience leading a diverse team to accomplish shared goals.
  • One year of supervision and professional development of staff.
  • Proficient in Microsoft Outlook, Word, Excel, Adobe Acrobat, and agency-designated software.
  • Demonstrated project management experience, managing multiple projects simultaneously.
  • Ability to solve problems independently and analyze operational requirements.

  • Experience with proofreading and finalizing documents for clarity and content.
