About the position

The Administrative Assistant/Accounting Specialist at Brothers Mechanical Services® plays a crucial role in supporting the accounting department and ensuring efficient office operations. This position requires a detail-oriented individual with strong organizational and communication skills, capable of managing confidential information and providing administrative support to senior management. The role involves handling accounts receivable and payable, scheduling meetings, and assisting with various administrative tasks related to financial operations.

Responsibilities

  • Handle confidential employer and client information
  • Draft project contracts with Senior Project Managers
  • Serve as assistant to Senior Project Managers
  • Manage accounts receivable and payable items, including processing invoices and generating financial reports
  • Schedule meetings and manage daily calendar
  • Communicate directly with field crews throughout the day
  • Schedule service calls and manage federal, state, and commercial projects
  • Process and distribute incoming calls, emails, and mail
  • Handle financial tasks in payroll and accounting
  • Make business purchases and deal with vendors
  • Prepare and organize databases and reports
  • Provide various levels of customer service

Requirements

  • 5+ years of related office experience
  • Proficient knowledge of QuickBooks, Microsoft Excel, and Microsoft Office
  • Strong organizational and communication skills
  • Ability to multi-task and manage multiple projects and deadlines
  • Proven administrative accounting experience
  • Familiarity with current technologies, like desktop sharing and cloud services

Nice-to-haves

  • Experience in the construction industry
  • Associate diploma or equivalent in accounting
  • Business college training in finance
  • Experience as a virtual assistant or in a relevant role
