About the position

The Accounting Administrative Assistant plays a crucial role in supporting the Accounting and Financial Reporting department by performing various administrative tasks. This position is designed to provide excellent customer service to both internal and external clients while maintaining confidentiality and accuracy in all dealings. The primary goal is to act as a trusted advisor, helping customers achieve their financial objectives through effective communication and relationship-building.

Responsibilities

  • Greet customers, answer phones, and take messages accurately.
  • Email daily financials and daily balance of assigned DDAs accurately and securely.
  • Perform accurate data entry and obtain proper approval.
  • Prepare/write department correspondence.
  • Perform daily review of internal control processes.
  • Maintain efficiency of organizational tasks.
  • Enter voided official checks into Q2 Positive Pay.
  • Collect and record rental payments upon receipt.
  • Maintain rental spreadsheet and prepare rental entries for leased property.
  • Distribute departmental mail and faxes accurately.
  • Maintain departmental office supplies, paper supply and toner/cartridges in copier and printer.
  • Maintain accurate department calendar and schedule reservations for department staff as needed for seminars, telephone conferences, meetings, etc.
  • Coordinate and send reminders for all mandatory bank meetings.
  • Maintain correspondent bank folders.
  • Archive EOM reconciliations to the scanned document folder.
  • Perform light accounting duties as assigned.
  • Other duties as requested by their supervisor or other management representatives of the bank.

Requirements

  • Minimum 2 years receptionist/administrative assistant experience.
  • A 2 year associates degree or 4 year college degree is preferred.
  • One to two years banking experience preferred.
  • Proficient in administrative and/or receptionist skills.
  • Great interpersonal communication and organizational skills.
  • Bookkeeping/accounting experience desired.
  • Advanced knowledge and experience with Microsoft Word.
  • Basic knowledge and experience with Microsoft Excel.
  • Must be able to perform the essential functions of the job with or without reasonable accommodation.

Nice-to-haves

  • Experience in bookkeeping/accounting is desired.
  • Familiarity with banking operations is preferred.
