About the position

The Administrative Assistant (Administrative Program Specialist) will support the operations of the Job and Family Services (JFS) department in Hamilton County, Ohio. This role involves managing business functions, maintaining organizational records, coordinating hiring processes, and providing program support for Children's Services. The position requires effective communication and organizational skills to ensure smooth operations and compliance with various initiatives and projects.

Responsibilities

  • Manage business functions of JFS and new ODJFS initiatives/partnerships/projects as assigned.
  • Maintain current Table of Organization and ensure position descriptions are accurate.
  • Manage supplies for Children's Services and office equipment needs.
  • Oversee the onboarding process for new hires in Children's Services.
  • Coordinate interviews and maintain detailed records of the hiring process.
  • Provide program support including cataloging and maintaining records.
  • Assist in organizing meetings, trainings, and case applications.
  • Develop and oversee Children's Services donations and interact with donors.
  • Communicate with external stakeholders and community partners.
  • Coordinate meetings with project leads and provide updates on initiatives.
  • Develop and host training for JFS administrative support staff.

Requirements

  • High School Diploma or GED with two years of related experience or equivalent training.
  • Bachelor's degree in a related field preferred.
  • 1 year of experience in Children's Services is preferred.
  • Proficiency in Microsoft Excel and Microsoft Office.
  • Strong communication skills, both oral and written.

  • Experience with Child Welfare practices.
