About the position

The Administrative Assistant and Data Entry position at a Commercial and Residential Renovation Construction Group in Astoria is a full-time role focused on supporting the office staff with various administrative tasks and QuickBooks data entry. The ideal candidate will have a positive attitude, strong communication skills, and a desire to learn about the construction industry.

Responsibilities

  • Screen/answer phone calls and monitor emails
  • Schedule service calls and communicate with clients and vendors
  • Order, purchase, and track materials for projects
  • Scan and E-file documents, maintaining organized project files
  • Assist with submittals and bid packages
  • Manage calendars for projects and business owners
  • Record day-to-day financial transactions
  • Process accounts payable and maintain invoice controls
  • Prepare accounts receivable, including AIA forms G702-G703
  • Prepare monthly reconciliations and reports as needed
  • Assist with other administrative duties as required

Requirements

  • At least 2+ years of experience in a similar role
  • Excellent oral and written communication skills
  • Proficient in Excel/Google Sheets and familiar with Google Drive
  • Extremely detail-oriented and organized
  • Extensive knowledge of QuickBooks data entry
  • Ability to set priorities and work independently or as part of a team
