About the position

The ARCHES Project is seeking an Administrative Assistant to provide essential support to clients, many of whom are chronically homeless. This role involves delivering basic needs and supportive services, clerical support, ensuring safety, and assisting in de-escalation when necessary. The position is critical in helping clients engage with services and is renewable annually based on project funding.

Responsibilities

  • Provide direct support to ARCHES Program clients.
  • Deliver basic needs and supportive services to clients.
  • Route customers to appropriate ARCHES services.
  • Provide clerical support and ensure the safety of all guests and volunteers.
  • Assist in the de-escalation of guests as needed.
  • Model and train staff, volunteers, and interns on customer service skills.
  • Uphold hospitality and customer service standards, ensuring client-centered care.
  • Monitor the Day Center for compliance with the Supportive Services Agreement.
  • Assist the Program Manager with writing and updating policies and procedures.
  • Oversee ordering, inventory tracking, and distribution of supplies.
  • Fill in with reception area staff as needed, including answering phones and greeting visitors.
  • Process incoming and outgoing mail and maintain organized filing systems.
  • Assist with quarterly audits of mail operations.
  • Maintain a clean and organized working environment.
  • Facilitate data collection and input into the Homeless Management Information System (HMIS).
  • Assist with state and federal procurement processes.
  • Provide ongoing support to staff, volunteers, and interns on ARCHES standards.
  • Support and backfill Site Assistants when needed.
  • Perform cleaning, janitorial, and laundry tasks as required.
  • Support nutrition staff with kitchen tasks, including cooking meals.
  • Participate in community outreach as directed by the supervisor.

Requirements

  • High School Diploma or GED.
  • Four years of experience in an office-related field or equivalent combination of education and experience.
  • Basic Life Support/First Aid Certification required within the first 30 days of hire.
  • Food Handler's Card or ability to obtain within 30 days.
  • Must pass a comprehensive background screening prior to employment.
  • Demonstrated proficiency in Microsoft Office (Teams, Outlook, Word, Excel) and videoconferencing platforms.
  • Effective interpersonal communication skills, both written and oral.

  • Experience in a Social Services office environment.
  • Experience working with homeless or at-risk populations.
