About the position

The Texas Commission on the Arts is seeking an Administrative Assistant to provide moderately complex administrative support and program assistance. This role involves disseminating information, maintaining filing systems, and performing various internal administrative tasks. The Administrative Assistant will work closely with Program Administrators and will operate under general supervision, allowing for moderate latitude in the use of initiative and independent judgment. The position is crucial in ensuring that the agency's operations run smoothly and efficiently, particularly in supporting grant programs and assisting applicants and grantees. In this role, the Administrative Assistant will serve as the first point of contact for new grant applicants and the public, providing outstanding customer service. Responsibilities include assisting applicants and grantees with timely and accurate information and technical assistance regarding the agency's grants programs. The individual will also be responsible for maintaining filing, record-keeping, and agency records management systems, ensuring that all documentation is organized and accessible. Additionally, the Administrative Assistant will perform general office duties such as ordering supplies, basic bookkeeping, answering the telephone, and assembling presentation materials. Coordination of meetings, conferences, and seminars will also be part of the job, along with participation in the planning and execution of agency programs. This position is ideal for someone who is organized, detail-oriented, and has a passion for the arts.

Responsibilities

Requirements

  • Experience in administrative support work
  • Graduation from a standard senior high school or equivalent is required
  • Graduation from an accredited four-year college or university with major course work in the arts, public administration, business, or a related field is generally preferred
  • Solid knowledge of MS Outlook, Word, and Excel, Asana, etc.
  • Knowledge of office practices and administrative procedures
  • Ability to implement administrative procedures; to interpret rules, regulations, policies, and procedures; to communicate effectively, and to train others
  • Background and/or interest in the arts or arts-related fields
