About the position

The Administrative Assistant for the Arts & Sciences division provides comprehensive administrative support to the Dean and the division. This role involves managing daily operations, maintaining sensitive documents, and ensuring effective communication within the division. The assistant will also be responsible for scheduling, data management, and supporting academic processes to enhance student success and operational efficiency.

Responsibilities

  • Provide full-service administrative support for the Dean of Arts and Sciences.
  • Manage daily business operations for the Arts and Sciences office.
  • Maintain accurate office files, correspondence, and materials as requested.
  • Order materials, supplies, and equipment, and manage inventory.
  • Complete and reconcile Purchase Orders and credit card statements.
  • Assist with scholarships, certificates, and program orientation packets.
  • Research and collect data to provide reports for division activities.
  • Coordinate and schedule meetings and events for the Arts and Sciences division.
  • Build courses and register students as requested, including special permissions.
  • Verify grades and attendance for all division classes accurately.
  • Develop marketing materials and maintain classroom inventories.
  • Assist faculty with technology and equipment needs.
  • Oversee work study or part-time personnel and manage tasks.

Requirements

  • High school graduate or equivalent required.
  • Post-secondary education in administrative assistance or office management preferred.
  • Three years of full-time related work experience in office management preferred.
  • Strong customer service skills and professional demeanor required.
  • Excellent word processing, spreadsheet, and database skills required.
  • Ability to manage multiple projects with accuracy and confidentiality.

Nice-to-haves

  • Microsoft Office Specialist certifications preferred.
